Abstract

The advent of computerization has brought about several changes in the way we interact with the world, altering aspects such as political, economic, and social relationships. As an essential part for the functioning of society, education has also evolved greatly, especially with the use of active learning methodologies. After some years and even centuries of stagnant teaching, we have witnessed investments in ways of learning that have generated several positive impacts, not only for students, but also for teachers. It will explain the importance of active methodologies and how they work, also demonstrating their consequences that can help in the evolution of an educational institution. The academic management of any education institution includes processes that involve the entire community (coordinators, professors, technical-administrative employees, and students): planning, curricular and administrative activities, attention to students, organization of professors, institution evaluation, regulations, and standards, among others.

Introduction

It is the responsibility of senior management to offer its students an institution with sufficient resources to promote quality education, which keeps up with changes and trends in education. Within this, it is important to place the course coordinator as the protagonist, acting as the manager of a business unit. It should be up to the coordinator to manage the main academic indicators, such as enrolment, dropout, learning, quality, income, margin, and the insertion of the student in the labour market. It will be referred the main aspects of academic management that must be added to higher education. Process automation has been taking place in different areas of knowledge and brings speed and practicality to everyday work processes. In the context of education, academic management systems are used to manage and administer institutions. It allows the integration of different sectors and the management of the institution's processes and data. Its purpose is to facilitate the work of faculty and staff, bringing more organization and helping to achieve effective learning for students. The management systems organize and control the processes related to the student, acting from the recruitment until the end of the relationship. The main processes must be managed and automated by the academic management system, such as recruitment, enrolment, retention, academic registration, control of internships and opportunities in the labour market.

In addition to academic processes, the systems usually manage financial, accounting, receivables management, quality assessment and the generation of managerial and regulatory data. Other processes and additional integrations are being added to academic management systems, such as:

  • Predictive student retention processes.

  • Issuance of electronic invoice for students.

  • Virtual learning environment integrated with material for study, collaboration, and forums.

  • Environment for communication and exchange of messages between students, professors, and the institution.

  • Change Management impact on Students.

  • Management of student academic documents in the cloud.

The main benefits are:

  • Improved service to students, who can enjoy various academic services without having to go to the institution.

  • Greater agility and productivity in processes, which can be virtualized.

The demand for distance education has been growing rapidly for several reasons: greater familiarity with technology, search for more accessible options to acquire knowledge, desire to stand out in the job market, greater practicality and convenience for learning and the population's search for education of greater age. The architecture of academic management systems needs to be adequate to allow the implementation and expansion of this teaching modality with quality. A flexible platform and a well-built integration with the virtual learning environment chosen as the EAD platform are needed. Technological advances have allowed enriching teaching experiences for distance-learning students, with advantages that even surpass those of on-site education.
